We are seeking a detail-oriented office manager to join our team. The role covers a variety of responsibilities including human resources, bookkeeping, tax, legal, and compliance. Applicants are expected to have a minimum of two years of bookkeeping experience, including double-entry bookkeeping and generally accepted accounting principles (GAAP). Job duties include:
Full Charge Bookkeeping
- Perform general accounting activities in QuickBooks online, including:
- Bank reconciliation
- Processing invoices (A/R)
- Bill paying (A/P)
- Managing credit cards record-keeping and timely reconciliation
- Shepherding and resolving billing purchases, discrepancies, and other issues
- Analyst financial operations and projections to create budgeting and forecasting targets for financial operations. Make recommendations and decisions based on budget and growth goals.
- Create and present monthly financial management reports.
- Manage vendors, including:
- Negotiating terms and conditions
- Maintaining a database with contact information and renewal dates
- Build and maintain firm’s audit files in anticipation of our annual audit
Human Resources
- Maintain employee onboarding and offboarding processes, including:
- Continuously building and automating self-serve employee-led workflows
- Executing necessary employer tasks
- Administer employee tracking and feedback system
- Manage recruitment, including:
- Posting new jobs across various systems such as LinkedIn and Indeed
- Maintaining recruiting pipelines
Tax & Legal
- File quarterly and annual required excise taxes across multiple states
- Maintain legal entity organization changes, periodically adding and removing legal entities through firm’s vendor
Technology
- Ensure various software platforms user licenses are optimized for cost reduction purposes, including:
- Office365
- Outreach
- Airtable
- Google Apps
- Okta
- Zoom
- Periodically review virtual backup systems
Compliance
- Maintain client files necessary to comply with basic FINRA requirements
- Preserve basic anti-money laundry policies, including reviewing duplicate brokerage statements held with a third-party vendor
- Review internal communications to ensure basic compliance with preconfigured rules
Miscellaneous Administrative Tasks
- Plan bi-annual onsite firmwide events
- Assist in building employee culture by recognizing staff feel on birthdays, employment anniversaries, or other special events
- Coordinate travel and meeting scheduling for staff on an as-needed basis.
- Create company networking events with service providers to introduce directors to new sources of deal flow.

Pay: $13.00 - $28.76 per hour
